THE FOUR (4) SKILLS THAT I HAVE LEARNED TODAY

In this class I have learned the second entry which is quick entry. It was some sort interesting as it was new for me this week. Last week, I have learned add entry which is long method and it was easy rather than writing our own.

1st skills  < Account Description>
Firstly, I was asked to choose general. After clicking general, I have to choose print chart of account which is the third one. The description in chart of account will change from sales to cash sales.

2nd skills < Value Changes >
In this second skill, I was advised to choose the transaction under UBS accounting system. Under transaction, I had to choose print batch of transaction. Then, I was asked to double click the value of purchases to change the value in transaction 3 and 4 from RM 2000 to RM 2500.

3rd skills < Edit Transaction >
In edit transaction, I have learned V.Edit.  V.Edit is to edit the value and account description.  Select batch number  5 at the search button. Then, I have to choose v.edit  and save it. By using the v.edit, I’m  able to edit the value and account description together. The v.edit will change the purchase value in transaction 3 and 4 from RM 2500 to RM 2000.

4th Skills < Delete Entire Transaction >
Firstly, I need to choose print batch of transaction under transaction. Select the batch number and the transaction. Secondly, I was asked to choose file organization under housekeeping. I have to select delete unwanted transaction. Next, I have to type the reference no. **********. The debit and credit must equals to zero. Then, the account transaction will appear. I have to click “**********”  next to the salary and bank transaction under reference. Lastly, I have to choose print batch of transaction under transaction to check the transactions.

WHY BACKUP IS IMPORTANT FOR ACCOUNTING INFORMATION SYSTEM?

There are few reasons of the importance of backup for Accounting Information System (AIS). The meaning of backup is making copies of data which may be used to restore the original after a data loss event. Firstly, backup is important because of hard disk failure.The capacity of data and the amount we could lose if our disk fails are high. The major problem is we will never know when the failure occurs and loss will occur at the worst possible time. In addition backup system gives us immediate and automatic protection from unpredictable disk failures.
  
Moreover, the other importance of backup is data corruption. Large number of people are unaware that their data is corrupt until their uncorrupted backups have been overwritten. Data corruption happens for many reasons but application crashes are the most common. Regularly running disk and database utilities is a good idea if we want to catch data corruption early which is a key to mitigating the damage.

Other than that, the other reason is free up disk space. The steady growth in the size of application software and related data can’t be stopped therefore it can allow to offload some of the less used files from the hard disk to a secondary storage medium like DVDs. Furthermore, removing those inactive files can open up the hard disk for new programs or growing data files. Inexpensive DVD or tape cartridges are a sure way to archive the programs and data while still keeping them accessible when it is needed.  

 Lastly, fire, flood and theft are one of the reasons too. Many of us would not have a thought about it. As a conclusion, we can say that backup is really important for us to prevent important data loss, hard disk failure and many more.

  

THREE (3) UBS SKILLS THAT I HAVE LEARNED TODAY


In today’s class I learn about UBS accounting system. Everyone wonder  what is UBS system. UBS accounting system is one of the most popular account or accounting software in Malaysia. It is famous because of its easy-to-use features and great flexibility. Now it comes with UBS Assets Register, a handy tool to manage your fixed assets and calculate depreciation. There are two types of transaction which is add entry (for capital and purchase transaction) and quick entry (for all transaction).

The first skill is Housekeeping.
  • v  There were 7 options but my lecturer advises me to select one option which is known as Setup.
  • v  After selecting it appears General Setup. General setup is all about company profiles. I was advice to clear the other company profile since they were updated by other students.
  • v  Then I proceed with next step which is UBS interface. At the UBS interface, I was asked to type the user, password and date.
  • v  And followed by company name, address and ROC number.


The second skill is General.
  • v  In general, I selected General Ledger a/c Maintenance. This enable us to create new ledger account with its information for an existing account, modify or delete it.
  • v  Then, I have to click the add icon for the information to be added such as the account number and description for instant 1000/00 for capital.
  • v  If there is a special account we have to click special account for example PV is for bank a/c.
  • v  An alphabet is given to every account type for classifying accounts. For capital is A, fixed asset is D and bank is F.
  • v  To check the information that was keyed in, I was asked to choose print chart of accounts icon under general.


The third skill is transaction.

  • v  In transaction, I was asked to select organize batch icon. Then I selected batch number 5 which is cash book (bank).
  • v  I was required to fill up the account number, date, Reference number, description of debit and credit and the period (1-12).
  • v  It will automatically save and appears below in the transaction.
  • v  Next to check the information that was keyed in, I was asked to choose print batch of transaction under transaction.
  • v  It will ask us to key in the numbers we have done and we will be able to see the total amounts of the accounts.


In brief, I have learned three UBS skills which are very useful in Accounting Information System (AIS). Moreover, with this UBS system it makes our life easier to do all the transaction faster rather than the normal way that we use daily to do our accounts.

My 1st Blog Post Regarding Accounting Information System (DAC0163) Mini Blogging Project

What is accounting information system actually??? Everyone thinks that accounting information system is something related to computer and accounting and even I think like that too. Accounting Information System is actually a system of collection, storage and processing of financial and accounting data that is used by decision makers. An accounting information system is generally a computer-based method for tracking accounting activity in conjunction with information technology resources. The resulting statistical reports can be used internally by management or externally by other interested parties including investors, creditors and tax authorities.

          This is my 1st mini blogging project for Accounting Information System (AIS) (DAC0163) for creative and innovative learning. Since this is my first blogging project, I have a lot of difficulty in understanding about this project. After, I consult with my lecturer, Mr.Noreffendy I understood about the blogging project.

          What I can tell about this blogging project is this project is useful for me to learn more about blogging system. Moreover, I can gain more experience about blogging since this blogging project is new for me. This mini project for Accounting Information System is something different from other subject. It sounds interesting.

          Other than that, this mini project will be useful for viewers to get knowledge about accounting and other issues as well. Therefore, I can update myself with current issues happening in worldwide. I also can share information with my friends since they also involve with this blogging project too.

          In conjunction, through Accounting Information System (AIS) mini project, I can learn more about computerising which is interesting and creative. Furthermore, by doing this mini project I can also improve my grammar as well as my language. Lastly, I would like to thank my lecturer, Mr.Noreffendy for introducing this mini project as a part of my subject.
